A multi-branch company's way of running repairs, built into one system
Provato Auto is our client's product, and We Build Software built it. It takes the way a proven multi-branch company runs repair work for its fleet customers and makes it the system auto repair shops run on.
Built for repair shops, from a single location to several
Provato Auto is for auto repair shops with one location or many, including shops that service fleets. You probably don't run a repair shop. But if you run branches, field crews or trucks, this is what it looks like when a whole operation goes into one system.
The problems a shop without one system lives with, and what we built for each
Before Provato Auto, its shops ran on other systems or on no system at all. The company behind the process had already worked out how a multi-branch, fleet-serving operation should handle each of the problems below. We built each answer into the system, so the software does it on its own.
The job board is a whiteboard, and it's already out of date
The problem. In a shop without one system, the job board is a whiteboard. Somebody has to redraw it every time a car moves, and the answer to "where's my car?" means a walk across the floor.
What we built. Every job sits on one live board, grouped by stage. It updates as the work moves. Photos and findings stay attached to the job, where the service writer can see them.

Fleet managers phone the front desk to ask where the truck is
The problem. A fleet customer has vehicles in the shop and no way to see them. So the fleet manager calls, and somebody at the counter stops what they're doing to find out.
What we built. Fleet managers get a portal of their own. They add a vehicle by typing the VIN or scanning the barcode on the windshield, then open a repair order, follow its status and approve the work. The answer to "where's the truck?" is on their screen.

The car is on the lift and the part isn't on the shelf
The problem. The job gets booked, the car goes up and only then does somebody check stock. The technician waits and the bay sits full.
What we built. Parts are checked against stock before a job reaches the calendar. Purchase orders, vendors and barcode scanning for receiving, transfers and handing parts out to a job all live in the same system.
The approval gets chased by phone
The problem. The estimate goes to voicemail. When the customer says yes to some of the work and no to the rest, somebody rewrites the estimate by hand.
What we built. The customer gets the estimate on their phone and approves it with no login. They can turn down a single service and approve the rest, and the estimate stays correct without anyone retyping it.
Every branch's stock and customers end up in one pile
The problem. Once a business runs more than one location, stock, staff and customers get mixed together. Nobody's sure which shelf a part is on or which branch a customer belongs to.
What we built. Every location keeps its own staff, inventory, storage locations and customers. The business runs all of them from one account. Each branch sees its own shelves and its own customers, and the owner still sees the whole business in one place.
It's live, and repair shops run on it
Provato Auto is live and shops use it. The rules that used to live in a manager's head now run in the system: which job waits for parts, who approves what and which branch owns which stock. The process is the same one. It just doesn't depend on someone remembering it anymore.
